AGENDA ITEMS:

ITEM #1 - Webcams on/off during meetings: how to encourage gently
• Want to know if we can discuss folks turning on their cameras if possible, and not implying that it be a rule. They didn't like coming into meetings when most folks have their cameras on. They didn't feel like they were going to be harmed, but made it clear that they didn't feel safe to share their true feelings because they couldn't see who they were sharing with. Their question is, if others find this a problem as well, how can we discuss turning on the cameras more than once during meetings.
• This fellow discussed discussed that in another meeting they were in, for another fellowship, they suggested to turn cameras into "Speaker View" so folks don't see as many dark screens/cameras off. They said that it helped them
• This fellow said they are in another fellowship, he experienced leaders pulling folks aside to ask them to turn their cameras on. He mentioned how he does always try to encourage folks to turn on their cameras. He reminded us that as hosts we can ask folks on zoom to turn on their cameras, also to possibly let folks know about the option to "hide non camera participants" is an option too.
• This fellow mentioned how they suffer a lot with their mental health and that having their camera on them makes them feel not strong and the camera doesn't help them at all. So the thought of the ever being pressured to having their camera on would make them not want to be in a meeting. However, when they're in a better headspace they do try their best to turn their camera on for others.
• This fellow mentioned that for those who are uncomfortable with seeing themselves on camera, they can change the view to not see their own cameras. Also that we should try and not be begging folks to turn on their cams.
• What someone brought up was someone has shared while keeping their camera off.

PROPOSAL/MOTION #1
Changing the opening text to, "We want to encourage you to turn on your cameras, particularly when sharing, because we have found that this contributes to a good atmosphere of recovery and connection during the meeting."

ITEM #2 - Wednesday chair replying to shares.
• The meeting on Weds are not feeling safe anymore, because folks are unclear if the chair will respond to people's shares. It is not okay, as it's cross-talk.
• This person has attended these meetings before, and noticed the chair 'cross-talking' after folks shares. And that they have reptet
• Has also attended the Weds meeting, and found this behavior in which they have responded, to not be appropriate. As it's not okay, because it's essentially cross-talk. We're not attending meetings to be evaluated, and if a chair continues to do that, people will start to tailor their shares to get the feedback that they want.
• In agreement with the Wednesday Chair; he always comments on people's shares. Even if it can sometimes be encouraging, it feels like a review. Mentioned that even this chair maintained a camera off while chairing, which is not okay.
• From what this person can gather, we are all seeing the same thing. They also noticed they had cross-talked for more than 5 minutes per meeting. We need to think of a solution to help them, but it should be addressed.
• Suggesting that we ask this person to step down, because they are in fact cross-talking still even after being spoken to.

→ Motion to extend meeting 15 minutes.
6 AYES - 2 ABSTAINS - 0 NAYS APPROVED

PROPOSAL/MOTION #1
To reach out to Weds Meeting Leader, confront the facts that 1) he's been asking for meeting subs, and 2) that he's been cross-talking by adding comments after shares, and see if he is doing okay, because the quality and safety of his meetings have significantly lessened.

ITEM #3 - Anniversary Meeting on Saturday, June 25th during 1:30 EST / 19:30 CET EGGA meeting.
• Combining the two meetings is SUCH a great opportunity for folks of new and old to come together and continue to strengthen the fellowship and what it means. It's a great idea. Also, adding in another meeting on the calendar would just be more work. So why not enjoy the already slotted time!

PROPOSAL/MOTION #1
Motion to combine the Saturday EGGA meeting + the Anniversary meeting.

ITEM #4 - Starting a newcomers meeting.
* Motion to move this topic to the next business meeting.
7 AYES - 1 ABSTAINS - 0 NAYS APPROVED

→ David proposing that we start a one time a week meeting specifically for newcomers and encourage fellows with longevity in the fellowship and recovery to volunteer to lead, in a rotation with others. Having people with experience, to set the tone, to share a short share on new comer's topics. Things to consider, would there be time for the new comers to ask questions? Giving the new folks a time & space to ask these questions. But also, to avoid the 'personality or authoritative' aspect on responses to these new folks.

End of Meeting Group Questions
1. Are we carrying the message?
2. Is the group stable/growing?
3. Do you feel safe in the meetings?

More than one person reflected on the situation around the Wednesday meetings.

Suggestion for next meeting Agenda topic(s)
1. Adding the 'New Comers Meeting' - topic by David
2. What is/are the updates from the conversation with the Wednesday EGGA meeting leader? - Jess to report
3. Updating the meeting script to remove the "?" for signals in chat, and adding in text to say, 'if you have questions, please save them for the end where we can thoroughly address them as group.'

*** End of Meeting ***

Jess
